Data Handling Policy

This Data Handling Policy outlines Falcon’s procedures for handling data sent by clients.

All data sent by clients is considered as confidential, unless it is in the public domain, and procedures are in force to ensure that we are taking the necessary action to protect client data.

The nature of our business requires a certain element of exposure in terms of handling data however we aim to limit this exposure to the minimum.

To this end:

 

1.      We do not touch client data beyond what is necessary to complete a project. Occasionally we may request additional information to assist in the translation process.

 

2.      We do not make copies of client data, apart from a soft copy version for use by the translator/s which is stored on a secure network.

 

3.      If we agreed that making copies of client data is necessary (e.g. off-site backup), we make sure that it is always protected.

 

4.      Hard copy records, e.g. original email requests and any relevant client material are kept in our offices until such time as they can be taken to a secure off-site storage facility.

 

5.      We never distribute any of your data beyond what is necessary for completion of the project. Data is sent to our translation partners electronically however they have all signed a confidentiality agreement with us.

 

6.      Client data remains the intellectual property of the client. This applies to both the original data and any translated material.   

 

7.      Data is stored for as long as necessary according to the requirements of our Professional Indemnity Insurance. During this time it is stored off-site in a secure facility with restricted access.  

 

8.      Any data which becomes obsolete and/or not destined for off-site storage is destroyed in our offices.
